Clear Refund & Cancellation Terms

This Refund and Cancellation Policy outlines the terms and conditions under which Webvanta Innovation processes refunds, handles service cancellations, and manages project modifications. We believe in fair business practices and transparent communication with our clients.

01 Non-Refundable Deposits

Initial project deposits are non-refundable once work has commenced. The deposit serves several critical purposes in project initiation:

  • Administrative processing and project setup costs
  • Initial consultation and requirement analysis
  • Design mockups and preliminary concepts
  • Resource allocation and team assignment
  • Third-party service registrations and integrations
  • Documentation and legal agreement preparation

Important: Deposits are considered earned expenses once project work begins. Once our team has invested time and resources into your project, the deposit cannot be refunded under any circumstances.

02 Client-Initiated Project Cancellation

Clients may request to cancel their project at any time by providing written notice. However, the following payment obligations apply:

  • Deposit Forfeiture: The initial deposit is non-refundable regardless of when cancellation occurs.
  • Work Completed: The Client must pay in full for all work completed up to the cancellation date at the hourly rate or milestone rate as specified in the project agreement.
  • Partial Deliverables: The Client will receive all work-in-progress materials in their current state, including design files, code, documentation, and other assets.
  • Payment Processing: An invoice for completed work will be issued within 5 business days of cancellation notice, with payment due within 7 days.

03 Cancellation Timelines & Payment Calculations

  • Before Work Begins: If cancellation is requested before any work commences, the deposit remains non-refundable, but no additional charges apply.
  • During Project Execution: The deposit plus payment for all completed work and resources utilized is due immediately upon cancellation notice.
  • Near Completion: If the project is 90% complete or more, the Client must pay the remaining balance to receive final deliverables.
  • Post-Cancellation Support: The complimentary 30-day post-launch support period is forfeited if cancellation occurs before project completion.

04 Company-Initiated Project Termination

Webvanta Innovation reserves the right to terminate a project and cancel services if:

  • The Client violates these Terms and Conditions or service agreement
  • The Client engages in abusive, threatening, or unprofessional behavior toward our team members
  • The Client provides fraudulent information or misrepresents their business
  • The Client fails to make timely payments (after 30 days past due)
  • The Client requests illegal, unethical, or harmful content or activities
  • The Client breaches confidentiality or intellectual property agreements
  • Continued work would expose Webvanta Innovation to legal liability

Notice of Termination: In such cases, we will provide written notice specifying the reason for termination. The Client will be responsible for all work completed to that point and will not receive any refunds of deposits or payments already made.

05 Ongoing Service Cancellation

For recurring services such as SEO, digital marketing, maintenance packages, or support plans:

  • Cancellation Notice: Services may be cancelled with 30 days' written notice.
  • No Refunds for Partial Months: Cancellations made mid-month will not result in pro-rata refunds for unused days.
  • Final Service Delivery: Services will be delivered through the end of the paid period. No early termination credits apply.
  • Data Access: Client data and reports will be provided up to the cancellation date, after which access may be restricted.
  • Domain & Hosting: If we manage these services, the Client must ensure proper transition or renewal with another provider before the cancellation effective date.

06 Scope Changes & Additional Work

When scope changes are requested after the project has commenced:

  • Scope Assessment: We will evaluate if the requested changes fall within the original scope or represent new work.
  • Minor Revisions: Changes included in the revision rounds specified in your proposal are included at no extra cost.
  • Additional Work: Requests outside the original scope will be quoted separately and require written approval and additional payment before implementation.
  • Timeline Impact: Scope changes will likely impact project delivery timelines and will be communicated promptly.
  • Contract Amendment: Significant scope changes require a project amendment outlining new deliverables, costs, and timelines.

07 Service Quality & Satisfaction Guarantee

While we cannot offer unlimited refunds, we are committed to your satisfaction:

  • Quality Assurance: All work is reviewed against quality standards before delivery.
  • Revision Rounds: Each project includes specified revision rounds (typically 2-3 for design, 1-2 for development) at no additional cost.
  • Post-Launch Support: 30 days of complimentary bug fixes and technical adjustments following project completion.
  • Client Collaboration: We maintain open communication and involve you throughout the project to ensure expectations are met.
  • Warranty Period: Issues related to our work will be addressed at no additional cost during the 30-day warranty period.

08 Refund for Unused Hosted Services

If Webvanta Innovation provides managed hosting or server space:

  • No Pro-Rata Refunds: Monthly hosting fees are non-refundable once the service month has begun.
  • Service Discontinuation: With 30 days' notice, hosting services can be terminated at the end of the billing cycle.
  • Data Backup: The Client is responsible for backing up website data. We will provide data exports upon request within 14 days of service termination.
  • Domain Renewal: Domain renewal fees are separate from hosting and will not be refunded; ownership transfer can be arranged if needed.

09 Refund Requests & Dispute Resolution

If a Client believes they are entitled to a refund:

  • Formal Request: Submit a detailed written request explaining the refund reason to info@webvantaindia.com within 30 days of the transaction.
  • Investigation: We will investigate the claim within 5-7 business days and respond with our findings.
  • Documentation: Provide all relevant documentation, project agreements, communication records, and evidence supporting your claim.
  • Negotiation: If a dispute arises, both parties will attempt to resolve it through good-faith discussion and negotiation.
  • Escalation: If negotiation fails, the matter may proceed to mediation or legal proceedings as outlined in our Terms and Conditions.

10 Third-Party Payment Processing Refunds

For refunds processed through payment gateways, platforms, or payment processors:

  • Processing Time: Refunds typically take 5-10 business days to appear in your original payment method.
  • Bank Processing: Additional time may be required by your bank to credit the funds to your account.
  • International Payments: Currency conversion charges may apply to international refunds and cannot be credited back.
  • Payment Gateway Fees: Processing fees charged by payment gateways are non-refundable as they are separate transaction costs.

11 Special Circumstances & Exceptions

In rare circumstances, exceptions to this refund policy may be considered:

  • Service Failure: If Webvanta Innovation fails to deliver agreed-upon services due to our negligence or breach, refunds may be considered.
  • Force Majeure: Unforeseeable circumstances beyond our control (natural disasters, pandemics, etc.) may affect project timelines but typically will not result in refunds.
  • Documented Error: If our error causes significant project delays or issues, we may offer service credits or discounts toward future work.
  • Executive Review: Requests for exceptions must be submitted in writing and will be reviewed by our management team.

12 Communication & Transparency

We believe in clear communication regarding cancellations and refunds:

  • All cancellation requests must be submitted in writing (email) to create a documented record.
  • We will provide written confirmation of the cancellation and itemized details of any outstanding payments.
  • Project status, work completed, and payment calculations will be transparently shared with the Client.
  • We will maintain regular communication throughout the cancellation and refund process.
